Understanding Anonymity.
At Welbee, confidentiality and anonymity are paramount for gathering honest, valuable feedback. This commitment helps your community—staff, students, and parents/carers—share their thoughts with confidence.
All Welbee Surveys are anonymous by default. This is our standard setting, designed to encourage honest feedback. You can switch off anonymity only at the very beginning of survey creation. If you choose this, participants will be informed that the survey is not anonymous before they start.
Here's how we ensure anonymity when it's enabled:

► Individual Anonymity: Responses from anonymous Welbee Surveys are anonymous. We've built our tools so your organisation, leaders, or colleagues cannot identify individuals, unless the participant chooses to identify themselves. This choice is always made clear to them.
► Demographic Data & Reporting: You can collect demographic data like role or year group. However, this information is only reported when five or more individuals within that group complete the survey. This "rule of five" prevents individual responses from being identifiable.
◦ Benefit for You: Reporting group scores (where sufficient numbers participate) helps you target actions effectively, putting support and resources where needed.
◦ Data Protection: If fewer than five participants are in a group, their specific scores won't be reported separately. Their responses are still included in the overall total, maintaining data integrity without compromising anonymity.
► Written Feedback & Replies: When participants leave written comments, we advise them not to identify themselves or others. Your team can then reply to these comments, creating a direct conversation. The participant will see who the reply is from (e.g., "Reply from Headteacher," "Reply from Pastoral Team"). This allows you to be strategic about who replies while ensuring the participant remains anonymous.
◦ Important for Student Feedback: For student-written feedback, in the event of a safeguarding concern, authorised personnel can identify the individual with a few clicks. This feature is solely for student protection in serious circumstances and not for general identification.
◦ Why it Matters: This function provides more context, gives community members a stronger voice, and helps you offer tailored support. Participants receiving a reply know who sent it, controlling whether they continue the conversation anonymously.
