Student Survey - Access Methods

Three ways students can access their surveys.                                                                                                                                               

The Three Access Methods

Students can be given access to their surveys in one of three ways:

  1. Email Invitation: A direct link is sent to the student's email address.

  2. QR Code: A unique, scannable code.

  3. Emoji Code: A short, memorable code made of emojis, ideal for younger students or those with SEND.

You can choose the method that best suits your students' needs.

IMPORTANT: All Access Methods Are Unique and Cannot Be Shared

Each student's email link, QR code, or Emoji Code is 100% unique to them.

These codes are directly linked to the student's personal characteristics (e.g., year group, SEND status, etc.) as determined by your management information system (SIMS, Abor, Bromcom etc).

Why is this so important?

  • Targeted Surveys: This system allows you to send surveys to specific groups, such as a survey only for Year 11s or only for students with SEND.

  • Detailed Analysis: For our Edu Intelligence (EI) AI to provide you with in-depth, accurate analysis and insights, it must be able to filter responses by these groups.

If students share links or codes, your data will be corrupted. The system will not be able to provide accurate analysis for specific groups.

How to Set Up and Generate Access

1. Email Invitations

Email invitations are set up within the main survey builder, just as you would for staff or parent surveys.

  • You have the option to customise the email invitation text to make it relevant to your students.

2. QR Codes & Emoji Codes

You can opt to use QR codes or Emoji codes instead of emails. Emoji codes are a particularly effective and engaging method for younger children or those with special educational needs.

  • Both QR codes and Emoji codes are generated from the "Data Management" section in your Home Hub.

How Students Take the Survey

The student's experience will differ slightly depending on the method you choose.

► Email: Students simply click the unique link in the email they receive.

► QR Code: Students scan their unique QR code with a device (like a tablet or phone). This will take them directly to their personal survey.

► Emoji Code: Students must go to the Student Portal: pupil.welbee.co.uk

(add in /e at the end of the url to bring this page up directly: pupil.welbee.co.uk/e)

On this page, they will be prompted to enter their unique Emoji Code to begin.

Future Updates: Student SafeSpace

  • Coming in Early 2026: The Student Portal (where students enter Emoji Codes) will also link to Student SafeSpace, and Check-in Surveys - provided you have activated this feature.
