As the platform has evolved significantly, we recommend a re-boarding process for MATs and schools. This is not about starting again, but about ensuring leaders understand the new tools, features, and ways of working now available.
The following phased approach helps trusts and schools quickly get up to speed and start gaining full value from the latest functionality.
Phase 1: Overview
The first step is to ensure that all key stakeholders understand what has changed and what is now possible with the platform.
Recommended actions
-
All key stakeholders watch the Customer Update Video (approximately 5 minutes).
-
Arrange a Welbee presentation for the Executive Team to provide an overview of:
-
New tools and capabilities
-
Key updates to surveys and reporting
-
Strategic use across the trust.
-
This ensures senior leaders have a clear understanding of how the platform can now support trust-wide strategy and decision-making. Email support@welbee.co.uk
Phase 2: Training
Training is designed to be short, flexible, and role-specific, allowing leaders to quickly familiarise themselves with the latest tools and workflows.
MAT-level leaders
-
Complete the Onboarding Video Training for MAT Leaders/Coordinators (approximately 15 minutes).
School leaders
-
Complete the Welcome and Training for School Leaders in MATsvideo (approximately 15 minutes).
All users
All users should:
-
Explore the Learning Hub, which contains role-specific training videos covering the latest features.
-
Book 1:1 or group training sessions with their Customer Success Manager if additional support is needed.
Phase 3: Data
Accurate and up-to-date data ensures the platform works effectively, particularly for surveys and AI insights.
Key actions
-
Update staff lists within the platform.
-
Confirm that student and parent lists are syncing via Wonde.
These datasets support:
-
Stakeholder surveys
-
AI-driven insights
-
Trust-wide analysis.
Phase 4: Survey Preparation
Once training and data checks are complete, schools can prepare for their next survey.
Steps include
-
Prepare staff by communicating that the survey will be launching.
-
Build the survey and adapt invitation messages if needed.
-
Ensure IT systems are ready so invitations and access work smoothly.
Reviewing Results and Analysis
With the introduction of EI, there is no longer a requirement for individual results review sessions for every headteacher.
EI now performs much of the analysis automatically, enabling leaders to:
-
Explore key findings quickly
-
Identify trends and themes
-
Focus on action rather than manual analysis.
Leaders can use the Learning Hub to learn how to review results through Survey Analysis and AI.
That said, support is always available. We are happy to work with leaders individually or at MAT level to ensure full understanding and effective use of insights.
Top Priority: Using EI
A key area of learning for both MAT-level and school-level leaders is using EI beyond surveys.
The Education AI tool (EI) can be used weekly or even daily as a strategic leadership resource.
It is designed specifically for education and brings together multiple sources of information in one place, including:
-
MIS data
-
MAT and school documents (policies, School Development Plans, self-evaluations, Ofsted reports and more)
-
Stakeholder feedback from surveys
-
School and trust context, such as demographics, values, and ethos.
All of this sits within one secure environment.
Leaders can then use our secure agentic AI to:
-
Ask questions
-
Analyse information
-
Plan strategy
-
Generate reports
-
Support trust-wide improvement planning.
This enables leaders to make better-informed decisions using a single, trusted source of insight.
