Re-boarding Guide for Single School - not in a Welbee MAT/Group

As the platform has evolved significantly, we recommend a re-boarding process for schools. This is not about starting again, but about ensuring leaders understand the new tools, features, and ways of working now available.

The following phased approach will help your school quickly get up to speed and begin gaining full value from the latest functionality.

Phase 1: Overview

The first step is to ensure that key leaders understand what has changed and what is now possible with the platform.

Recommended actions

  • Senior leaders and key stakeholders watch the Customer Update Video (approximately 5 minutes).

  • If helpful, Welbee can provide a short leadership overview session to highlight:

    • New tools and capabilities

    • Updates to surveys and reporting

    • How the platform can now support strategic decision-making in school.

This ensures leaders have a clear understanding of how the platform can support school improvement and wellbeing strategy.

Phase 2: Training

Training is designed to be short, flexible, and role-specific, helping staff quickly familiarise themselves with the latest tools.

School leaders

All users

All users should:

  • Explore the Learning Hub, which contains role-specific training videos covering the latest features.

  • Book 1:1 or small group training sessions with their Customer Success Manager if additional support would be helpful.

Phase 3: Data

Ensuring data is accurate will help the platform deliver the most useful insights.

Key actions

  • Update staff lists within the platform.

  • Confirm that student and parent lists are synchronised via Wonde (if your school uses this connection).

These datasets support:

  • Stakeholder surveys

  • AI-driven insights

  • Analysis of feedback across your school community.

Phase 4: Survey Preparation

Once training and data checks are complete, the school can prepare for its next survey.

Steps include

  1. Prepare staff by communicating that the survey will be launching.

  2. Build the survey and adapt invitation messages if needed.

  3. Ensure IT systems are ready so invitations and access work smoothly.

Reviewing Results and Analysis

With the introduction of EI, there is no longer a need for separate results review sessions unless they are specifically requested.

EI now carries out much of the analysis automatically, enabling leaders to:

  • Quickly explore key findings

  • Identify trends and themes

  • Focus on actions and improvements rather than manual analysis.

Leaders can use the Learning Hub to become familiar with reviewing results through Survey Analysis and AI, or the quick start option.

A key area of learning for school leaders is using EI beyond surveys.
